ClearPath Assessments (“ClearPath”, “we”, “us”, “our”) connects people seeking psychology, educational, and speech pathology assessments with verified, face-to-face providers across Australia. We take your privacy seriously — especially because the information you share with us can include sensitive health information.

This policy explains what we collect, why, how we handle it, and the rights you have. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and, where it applies, the Health Records and Information Privacy Act 2002 (NSW).

1. The information we collect

From people seeking an assessment (consumers). When you submit an enquiry we collect: who the assessment is for and their age; the type of assessment sought; your suburb and postcode; funding type (private or NDIS, and NDIS management type); urgency; your name, email, and (optionally) phone number; and any notes you choose to provide.

Some of this is sensitive information— in particular, the assessment type and any health details you include reveal information about your or another person's health. We only collect sensitive information with your consent and only as reasonably necessary to match you with a suitable provider (APP 3).

From providers. We collect professional details: name, title, profession, registration number, practice locations, assessment types offered, fees, capacity, and related practice information, in order to verify and match you.

If you submit an enquiry for someone else (for example, your child or a person you care for), you confirm you are authorised to provide their information to us for this purpose.

2. How we collect it

We collect information directly from you — through our enquiry form, provider application, email, and other communications. We do not buy personal information from third parties.

3. Why we collect and use it

We do not use your information for any unrelated purpose without your consent.

4. Who we share it with

Matched providers. The core of our service is introducing you to a provider. When we match you, we share your enquiry (including relevant health context and your contact details) with that provider so they can contact you. Providers are independent practitioners responsible for their own privacy obligations.

Service providers. We use trusted third parties to operate ClearPath:

We never sell your information, and we never share it for third-party advertising.

5. Funding bodies (Medicare & NDIS)

ClearPath treats all assessments as private-pay and never bills Medicare, the NDIS, or any funding body. We do not lodge claims on your behalf. Any Medicare rebate or NDIS arrangement is handled directly between you and your provider. We capture your funding type only to help match you appropriately.

6. Storage and security

Your information is stored in Australia using our cloud provider's Sydney region. Access is controlled so that information is only accessible to you, the providers you are matched with, and authorised ClearPath staff. We use encryption in transit and at rest and take reasonable steps to protect against misuse, loss, and unauthorised access.

7. Overseas disclosure

Your information is stored in Australia. However, some of our service providers (for example, our email and payment processors) may process limited information on servers located outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure those providers handle your information consistently with the APPs. 8. Direct marketing

We will only contact you about your enquiry and our service. We do not send marketing emails without your consent, and you can opt out of any non-essential communications at any time by replying or contacting us.

9. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is inaccurate (APP 12 and APP 13). Contact our Privacy Officer and we will respond within a reasonable time. There is no charge to make a request.

10. Retention and deletion

We keep your information only as long as needed for the purposes above or as required by law, then de-identify or securely delete it. You can ask us to delete your enquiry information at any time, subject to any records we are legally required to keep. [Confirm retention periods during legal review.]

12. Complaints

If you have a concern about how we have handled your information, please contact our Privacy Officer first and we will work to resolve it. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au) or, for health information in NSW, the NSW Information and Privacy Commission (ipc.nsw.gov.au).
